WEEKLY REPORT FRIDAY SEPTEMBER 6, 2002 ACTION POINTS REOUIRING JE's COMMENT 71ST STREET i) JE to still use the Thalgo massage table heating blanket before advising if we are to purchase for any other property. ZORRO ii) is aware that the tent needs to go near Hogs Back but is unsure where — please advise? iii) Where would JE like the Ponce de Leon placed, or should this be placed in storage? iv) On discussion between GM, and NS, it was agreed that a further two vehicles for the ranch are required with regard to the transportation problem encountered during JE's previous visit — namely a Tahoe and Suburban. JE to please advise if it would prefer us to source new or used vehicles? v) has a further quote for the electric portion of the plumbing project from Broken Arrow in the amount of $6,900.00. This is the best quote she has received as the other two quotes were $12k and 14K. JE to plse approve. JAI vi) Nanna — This is repaired and in the water. The boat needs to be detailed and cleaned which involves teak deck dressing etc. This is scheduled for next week. Due to the pending visit, I can put this project on hold. Please advise? vii) Hot Tub — This has been installed. Mr Epstein requested that the temp be increased. The programming pumps and solenoids are designed for the current temp. The temp is set at this maximum level to avoid any liability claims for injury caused by the water getting too hot. To increase the temp further would require extensive alterations. Is Miles to go ahead? viii) The plans calling for a wooden gym have been altered to allow for the use of cement floors and walls. JE would like the outer face of the building stoned as per main house. The structure will remain the same in terms of structure and dimensions. This has been approved by JE. Progress - Miles has started the process of moving the existing gym to a new location. This should be completed by Friday September 6. Thereafter they will start the ground work and layout. Miles would like JE to give final approval to the layout before we start to pour the cement. This layout should be ready for the next scheduled visit, been 13 September 2002. If not, the view from the new gym will be the same as the current gym. Is this in order EFTA00578393 PALM BEACH ix) The quotation for the landscaping lighting has been received in the amount of $2,717.00. Please approve. x) Small gun safe with a digital pad for the remainder of the weapons still to be purchased. The quotation received from John was $1,100.00. JE to please authorize? ********************************** 2 EFTA00578394 FORTNIGHTLY REPORT 71st STREET A. Restoration / Waterproofing Same 0 Richard approved the tinting on the dutchman repairs and work will start Saturday 7 September and this should only take one day. B. Front Door Hardware to Almost complete except for inactive door, need to modify the spindle that holds door knob. Locksmith will come in and add half inch to it. Will complete the hardware on Monday, and staining on Wednesday. C. Security in) Installation will be complete by next Friday once they have worked Wednesday through to Friday due to JE being in-house. Security Products is currently working around JE's schedule. D. General Same iv) Telephones — the Sawyers brothers are both working now NS is setting up a meeting between Sawyers, NS and Richard to resolve the telephone issues now. They previously advised as follows: I. When doorbell rings, beeper system on staff belts will vibrate. Tom advised NS today 6 September that he has investigated a simpler system at a better price. This will be discussed further at the meeting. 2. JE has advised that the two buttons on the telephone that will be lost are the Tahoe and Merc buttons, enabling J.E. to gain home and away modes. These buttons will enable JE to press "away" mode (call forward) and "home" mode when he is in house. We have requested Sawyers to advise when they will be able to instigate this and they are still to advise. Pat from Sawyers has advised that we change the colour of these two buttons to green for "away" mode and red for "home" mode. 3. Sawyers are still investigating an "address book" storage for the telephone. GM has now authorized Sawyers to source an address book storage of 400 — 600 names. We are awaiting this. iv) Wireless Network Computer — This has been removed from 7 Is' Street and installed at 656' Street. GM has requested that Pinto prepare coloured boards for the entry hall of 71s' street. We have heard nothing back from Pinto on this. We will chase when the offices open in September. GM has heard nothing back from Pinto on this and will address this with him. 3 EFTA00578395 vi) JE advised that Pinto was to make the table cloths and overlays for the dining room and a fax has been sent off to request him to do this. We will chase when the offices open in September. GM has heard nothing back from Pinto on this and will address this with him via) & her boyfriend — passport has not been issued yet. She expects it within the next 2 weeks. Her boyfriend has advised that he can now travel and spend a month in the States. He can go to the Island in that time and make recommendations if you wish. Lighting - NS spoke with David Rockwell again. David is coming up with a proposal which should be with us by Friday 13'h September. PARIS Old Apt GM has received no update from Pinto's office on the Paris apartment. Same i> Fat Lady Painting —Jean to change the frame Same ii) New carpet for boudoir. Same iii) Painting of boudoir. Same iv) Painting in loo off boudoir — GM was advised when she was in Paris that the painting would be done in September. Same v) Root chairs — Jean does not like the root chairs. Same Chandelier in master bathroom will now only be arriving in September. Same vii) Jean to purchase a desk lamp for the new desk. Same viii) Dining room collection — JE advised to use existing collections Same ix) Rolling cart — GM to source and purchase. x) Harlequin & Crystal Skull — Arrived Same xi) Basement areas to cleaned and fixed up. Same xii) Both computers are still to have card readers re-installed. Same xiii) A small box of some sort needs to be created for the light control next to GM side of the bed. New Ant Same xx) Jean to buy small table & chairs from Habitat to accommodate the LSJ model as per JE instruction. xxi) No schedule yet on the new apartment — the apartment schedule will be sorted out when GM meets with Pinto in October. 65th STREET 1. Items ordered from Chiaso: Ladder for office — still backordered. Shipment has been further still delayed and will chase again week of 12'h September. Backgammon set — still backordered. Will chase again week of 12th September. Same 2. Bedside table and TV unit in master bedroom — GM has found nothing suitable yet. Same 3. Security Products - JE approved the proposal and the installation will take place once 715' Street installation is complete. In the rear yard two sensor lights will be erected by Rich. 4. Wireless system — this has been installed at 65'h and is working in the entire house. KINNERTON 1. DVD Player — this has been installed and is working in GM's room 5 EFTA00578397 2. Paint walls in the living room. This has been done and they will be varnished next week, 91h —13th September. 3. Range Rover — this is due to be collected by Ray today. ZORRO Water Pump i) The pump is in and they are waiting for the pitless adaptor (not expected till Oct). If we need to put the pump in before it arrives we can rig it temporarily and then fix it the correct way when it comes in. Survey ii) Darren has now consent from all landowners, and he has sent the easements documents to the Electric Company for their approval. The surveyor will be able to complete the survey once the Electric Company has approved the easements. iii) We cannot proceed further until the survey is complete and approved. This can only be done once all easements have been signed allowing the surveyor to survey over their land. Electricity iv) has a further quote for the electric portion from Broken Arrow in the amount of $6,900.00. This is the best quote she has received as the other two quotes were $12k and 14K. Same v) Land use permit in hand. Same vi) Building permit in hand. vii) Slab has been poured for the building housing. The building was originally scheduled to arrive August 30'h but was delayed, and we expect delivery Monday September 9. viii) Expected date to erect building is September 13. ix) Plumbing — has received three quotes on three options, find attached. Gary Kerney has recommended that we go for Option 2 at $102,680.00 as opposing to the initial suggested quote of $50,680.00 (Option I) which was to tie the new water system into the existing pipe line. This pipe line was installed by the Kings and has the following problems: a. The line is not buried below the frost line resulting in pipes bursting during winter, resulting in continual repairs. b. Due to point a the pipeline has numerous patches and would not stand the pressure of the new water system. NS requested to obtain a detailed breakdown of this amount as JE feels this is excessive. Dale advised that it would take them a few 6 EFTA00578398 days to get the breakdown and has promised the quote on Monday September 9. I agree with Gary Kerney assessment and would also recommend Option 2. Mobilization would take at least two weeks once the contract has been signed. Same x) Once the building is in place the following will happen: a. Electrician will get a permit (should take 2 days) b. Electrician will then commence the installation of the meter box and circuits inside the building. c. Inspector will come out and view and approve (depending on their schedule they can usually come within 48 hrs of being called) d. We will then be ready to tie into the 3 phase power. Security xi) Security guard — Awaiting decision from JE and GM. xii) Security gate — This project was suspended until the entry gates for the Zorro house are complete. Mike can start on entry gate Oct. 1. xiii) Security camera - met with security camera people last week but was not pleased with the ideas put forth by the camera companies and is meeting with a further company on Friday September 6. (they come highly recommended). xiv) Fence - Fence is on hold until September 10. Mano has spent the last week on car repairs. He will start helping Mike with the entry gates on Friday September 6 then he will then return to work on the fence September 10. Hangar Movie Theatre Same Project has not moved forward. JE to appoint someone to design building. 40ft Digital Screen - NS spoke with Caroline (Michael Bay's assistant) who advised that he is away filming on location at the moment. Caroline has said that she will make and some calls and get the information for Nick. She will call as soon as she has the information. Entry Gates xvii) Mike is working on the entry gates. Mike has cut the vertical posts and has started to bolt them together. Mano will start to dig the holes Friday September 6. They will be set in the holes September 9 and pictures will be sent. 7 EFTA00578399 Same xviii) Fountain — GM sent a fax and email to Pascal per your request. You wanted the look to be something big, and present it you when he found it. General Items xix) JE authorized NS to purchase of three more handguns to enable a weapon to be kept in each vehicle. has received a quote for the cost of 3 handguns - $2,399.85. There is a 3 week delivery timeframe. xx) Pew will be started first week in October. xxi) Map - Arrangements are being made to have Adam redo the map. Adam was supposed to come to the ranch September 4 but he had car trouble so he will be out September 9. Same xxii) Microwave Tower — Val Comm has still not figured out the exact problem. xxiii) T1 Lines - There has been a hold up establishing the account. Eric spoke to Time Warner on Tuesday and was able to give them more information that they needed. Still looking at 2 weeks. xxiv) Staff Uniforms - NS & GM to investigate concepts and designs. xxv) Medical cards have been logged in from last visit and will be sent to Nick in NY. xxvi) is currently setting up medical training of staff through her husband. He is also investigating a new medical emergency kit for all properties and aeroplanes. Same xxvii) JE for info — Tamara & Jeff's last working day will be October 3nd. LSJ Carpentry Same 1. Yoga deck — JE does not like proposed canvas awning. Miles/Bruce to source alternative covering. Same 2. Cushions and coven are being made by the same company that is producing the seat covers for the electrical cars, and when the company asked what would need to be ready first, Bosco advised that the seat covers should take priority, so the cushions and covers will only be ready once the seat covers are complete. 3. Floating Dock - Additional floats have arrived on island. This project will be commenced whilst cement work for the new gym is drying. 8 EFTA00578400 Same 4. Lookout house (Blue) — a sliding door of some sort is to be created to provide privacy. Entrance to be hidden. 5. Twin railings on all steps — master bedroom building process is completed. The painters will be completing the project next week. Same 6. Build a side screen on the master bedroom wind protected deck and move steps to accommodate the addition. Same 7. Great room wind protected terrace area - build a wooden wall below the wind weave to accommodate the new doors. This is in progress Same 8. Experiment with plexi-glass weave to protect from wind and also allow view. Boats Same 1. Larry and NS still working on boats and setting up trial of Magnum 50 in Long Island. NS has spoken with the boat dealer. At this stage the Magnum 50 has been taken out of the water for winter. NS is still endeavouring to set up a trial. 2. Nanna — This is repaired and in the water. The boat needs to be detailed and cleaned which involves teak deck dressing etc. This is scheduled for next week. Due to the pending visit, I can put this project on hold. Please advise? 3. Ms Maxwell, Cathy and Miles looked at a number of boat yards in Puerto Rico. There were a few boats of interest and information about the boats has been sent to Ms Maxwell via FedEx. Landscaping 1. Bali shipment — The shipment is due to arrive in St Thomas on the 12th September. 2. Grass path - this is being completed. 3. JE has signed a letter of agreement with Madison Cox Design Inc. who will be doing the landscape design services. NS has sent a copy to Charles Miller and a signed copy back to Madison Cox and has requested Eric pay the $40k deposit. Household Same 1. Erect eight bamboo flagpoles — the design from Ed Tuttle has been refaxed to Miles as he could not locate ES' previous fax. 2. Bruce is researching materials and door samples. Research and im estivtion 1. Sea Water Pump on trailer to assist with filling salt pans, fires etc — Miles and Bosco have found nothing suitable yet. 2. Wind Generator — Tower has arrived on island and is being installed this week. 3. Maintenance and Storage Shed — JE has approved this and has been ordered. Cheque has been sent. Same 4. Miller advised that it is premature to go to Puerto Rico to view stone samples as even if he finds suitable stone there is no guarantee he will be able to get the quantity needed, so until such time as the quantities are available, it is not worth his going. Miscellaneous 1. New Helipad light fixtures are on order and should be on island by end next Friday 131h September. 2. Telephone system has been repaired. We are now preparing to move to full digital interface. This was scheduled for this week but the local authorities have not completed their tasks yet. We have rescheduled for two weeks (20'h September). Same 3. Install music systems in all electrical cars — JE advised we are to go ahead and install the sound systems in all the buggies and to have white seat covers installed. This is currently being instigated and the seat covers are being made. Same 4. Model of LSJ which Ed Tuttle is doing will be completed — this was delayed and is not expected until second week in September. Same 5. Security — puppies arriving at the beginning of September and will need to be trained locally in St Thomas as per GM. Awaiting update on arrival from JE. 10 EFTA00578402 6. Chinese Lanterns — Miles to place them at various locations on the island where he thinks it suitable for JE's next visit. 7. Moroccan lanterns they have been purchased and are being shipped to LSJ — advised that these should arrive in St Thomas next week (20th September) as shipping was delayed in NY. 8. Courtyard Lighting Install hidden spotlight in the pagoda against the blue room/bedroom one shining towards the swimming pool — light must not be seen from the left or right hand side of the courtyard. 9. Parrot at entrance — build an octagon with 6 foot sides and 6 foot height and install hidden lights on four corners. 10. Design and construct one page instruction guide on use of the radio. 11. Outside contractors I . steam room and the great room doors and plans. JE requested further changes to plans - we are awaiting these from Springline. 2. Move the master bedroom shower pump to accommodate steam room. 3. Miles is awaiting a decision on the generator to be used. This will cost in the region of $12,000.00. Ensure that the steam generator creates twice the capacity required. Interior is to be completely tiled in white and the exterior is to be plastered and painted. 4. Boilers - If an electrical unit for the steam generator is used, we will have to run independent cabling to the generator as the current electrical amp draw is verging on maximum capacity. Both a diesel and propane fired option have been located. HRT series 5-60HP (gas & oil pr combination fired) and Vertical Tubeless HE 1.5-20 HP (natural gas/propane fired) are both sized for over 1000cu. ft meeting JE's sizing specs. Please note it has been advised that if utilizing the gas option, it will use 1.5 gallon of propane gas per hour. 11 EFTA00578403 5. Employees of local government agencies were on island on Thursday. The purpose was to inspect the core sample sites of the proposed new house location on top of the hill. Secondly to inspect the intake and outflow systems for the RO plant. I am expecting a report back from them next week, 9th — 13th September. One comment that I think needs to be communicated was made regarding the proposed area for the new swimming pool and pavilion. There are core sample sites at this area. The comment was "I think that you will meet resistance to the proposal, as this is still a wet land even though the salt pond aspect appears to be dead". 6. Ed Tuttle — to supply design of beach house pool design. NS sent a further fax on the 6th September to Mr Tuttle. Same 7. Refer to letter sent by Kevin Qualls to Miller regarding the time lines for the pool and temporary residence — rough time line and can be changed at any time. Darren is aware of this. 8. NS has sent a fax to Charles Miller relaying that JE requires Ed Tuttle to do any and all design work for LSJ, and that Springline should only be used for drawings once Ed Tuttle has done the design work. Salt Pond 1. Ed Tuttle drawing 2 pavilions for either side of the pond — fax sent 6/9 requesting update on when we can expect these. 2. Source and purchase 10 x 50 gallon drums of Pond Clear and algae eater to be used in the salt ponds. Dock 1. Dock Demolition - Miles received a call from Charles Miller who indicated that the dock demolition process is scheduled for next week, 9th — 131h September. I cannot verify this with the builders. Items to purchase 1. Purchase an ambulance/first aid vehicle authorized for the island - cheque to be sent on Friday, 6 September. 2. Purchase additional gardening equipment authorized per JE - cheque sent. Same 3. Heli pad shelter — JE has instructed that Miles utilize a local architect to design a shelter using cement blocks. Proposal to be sent through to JE. Miles is attending to this. 4. Shotgun. One more is required. This will be bought on Cathy's gun license application. Application has been submitted — Miles has 12 EFTA00578404 indicated that it would take approximately 3 weeks to process. This was delayed and Miles will investigate week of 9th - 13th September. Mosquitoes & 1. Dan Ariaz will travel to LSJ 14th — 17th October to review the mosquito Sandflies and sand fly problem and put forward a proposal for JE to review. Ongoing 1. Repair the work done on beach two. 2. Continue stoning roads. 3. Complete installing wipers on Seamore. 4. Install weights on New Holland tractor. 5. Repair master bedroom rain gutters PALM BEACH 1. Small gun safe with a digital pad for the remainder of the weapons still to be purchased. The quotation received from John was $1,100.00 so NS will have the new and these handguns will be locked away in the safe when JE is not in house. He will purchase this on Tuesday 27 August. 2. Couple for PB — Pedro & Imelda — this couple will be arriving and starting at PB next week 10th September. 3. Gardens — The new landscaping has been completed. The quotation for the landscaping lighting has been received in the amount of $2,717.00. 727 Same 1. Morrison still looking for a person to install the different style blinds. On hold until different style is found. 457 Madison 1. JE wants a decorator to come up with a scheme for his office, but not Pinto. Keith Hobbs will be back in New York over the next week or so (+1- 23rd September) and he will advise on progress he has made with regard to his proposal. 2. 4 Green velvet chairs have been recovered and have been delivered. ****************************** 13 EFTA00578405
